Title: Parish Administrative Assistant
Hours: Full Time Hourly Employee with Benefits

General Description:
The Parish Administrative Assistant reports to the Business Manager and acts as both Parish Secretary & office clerical support for the Parish Staff as needed.


  • Answer the telephone and door in a prompt and friendly manner, directing calls and visitors as needed.
  • Maintain Parish census database (PDS) including new Parishioner additions, Parishioner deletions, address changes, coding for School and RE families, etc., and supplying necessary reporting information to the Business Manager and the Diocese.
  • Prepare and send OSV report bi-monthly for envelope mailing/assist Business Manager with annual envelope mailing contract.
  • Maintain online mass book (Mass Intentions online); prepare mass cards as requested.
  • Schedule outside priests for masses and Reconciliation as requested.

Office & Staff: 

  • Forward information as needed to the Bulletin Editor.
  • Maintain office machines & order supplies for the Parish Center as needed.
  • Maintain telephone system: with current messages for office hours & holidays, set up voicemails for new employees, arrange any system changes needed, and maintain staff phone directory.
  • Process and distribute mail.


  • Schedule all parish facilities for meetings and events as requested by school, RE and parish organizations in collaboration with Facilities Manager & Pastor.
  • Maintain and monitor parish calendars and schedule of events, update parish calendar data for the website.
  • Track parish facilities calendar & communicate with Facilities Manager & maintenance regarding any set ups requested by groups using the Gathering Place, Activity Center & Gym as needed.
  • Monitor keys checked out by organizations using parish facilities.
  • Maintain, stock & order paper goods for the Gathering Place, Parish Center Large Conference Room kitchenette as needed.


  • Assist with scheduling all Baptisms, Weddings, Funerals and Anointing of the Sick for the Parish, ensuring appropriate documentation and information is provided to Parish Staff as well as those receiving the Sacrament.
  • Provide certificates and letters of good standing as needed for individuals who are becoming godparents or confirmation sponsors. Assist in providing updates to the planning booklets associated with the Sacrament.

Title: Development Director
Hours: Part-Time, 20 Hours, Benefit Ineligible
Reports to: Pastor

General Description:
The primary goal of this position is to grow the annual operating budget of the parish and the school. This includes parish offertory, fundraising events and developing strategies to grow the base of financial support for the church and the school.

Regular Job Responsibilities: 

  • Oversee and execute, with the help of volunteers, all fundraising events for the school and parish. Negotiate best pricing for resources, locations, etc. for these events. Ensure Parish and/or School personnel support where appropriate for these events.
  • Develop marketing strategies to promote our events that are brand right and appealing to those targeted to support the event.
  • In tandem with the Pastor and Business Manager, develop strategies to appeal to parishioners for support of the weekly collections.
  • In tandem with the Pastor and Business Manager, strategize the usage of the funds in the current Endowment Fund on an annual basis to support the goals of the school as well as ensuring that plans are in place to maintain an appropriate balance for the future needs of the school.
  • Develop fund raising plans specific to achieving long range as well as ongoing operational needs for the church and the school.
  • Recruit an active and effective team of volunteers for appropriate events in the parish and school.

As Needed Job Responsibilities: 

  • Work closely with the Business Manager during budgeting time to plan for revenues/costs for the upcoming year, specifically related to fundraisers.
  • Attend meetings that will further the goals of fundraising, i.e., school parent meetings, event planning meetings, etc.
  • Participate in activities in the parish and school (i.e., social gatherings, fundraisers, faith formation groups, school parent assemblies, Catholic Schools Week open house) to promote engagement of current as well as potential donors and volunteers to ensure the success of future activities in the parish and school.


  • Word, Excel skills helpful. Familiarity with Google system.
